An automated inbound response workflow for small businesses, including plumbing, HVAC and other home services. It captures inquiries from connected calls, emails, text messages and lead forms in a CRM, then sends an initial response with a target of five minutes or less.
Owners and staff are often serving customers, working on-site or answering another call when a new inquiry arrives. They cannot personally respond to every lead right away. Delayed replies leave potential customers waiting and create opportunities for business to go elsewhere.
Built CRM-based workflows that capture the inquiry and trigger a prompt acknowledgment or opening question, such as “How can we help you?” Depending on the business, the response can use text, email or a voice drop. The automation handles the initial contact while the team is busy and supports the next follow-up step. I have implemented these workflows for multiple businesses, including plumbing and HVAC companies. The five-minute target applies to the automated initial response; it does not imply that a person has already spoken with the lead.
